Okinawa Healing Kitchen USER POLICY

11. Application Requirements
Children must be at least 10 years old and supervised at all times during private retreats.
Pets are not allowed.
Participants are responsible for their personal belongings. Okinawa Healing Kitchen is not responsible for loss, damage, or theft.
Only registered participants may attend. No free observations or attendance by non-registered persons.
2. Retreat Details
Language: All 3-Hour Okinawa Wellness Retreats are conducted in English.
Menu & Ingredients: Ingredient substitutions or menu changes may occur without prior notice due to weather or supply availability.
Health & Safety: If you are diagnosed with an infectious disease (e.g., measles, chickenpox, or influenza), please notify us as soon as possible. We will offer you credit toward a future 3-Hour Okinawa Wellness Retreat.
3. Cancellation & Rescheduling Policy
General Cancellations:
Cancellations made at least 14 days (2 weeks) before the 3-Hour Okinawa Wellness Retreat (Japan time) will incur a 4% processing fee.
Cancellations made between 13 and 7 days prior will be charged a 50% cancellation fee.
Cancellations made within 6 days or less before the retreat are non-refundable (100%).
How to Cancel:
Cancellations are accepted only via email during business hours:
Tuesday to Saturday, 9:00 AM – 3:00 PM (Japan time)

Lateness & No-Shows:
If you are more than 30 minutes late, your booking may be canceled.
No-shows (including mix-ups with dates) are non-refundable.
Rescheduling:
You may reschedule once per booking by notifying us at least 7 days before your scheduled retreat.
The new date must be within 3 months of the original booking.

Emails received outside business hours will still be honored based on the sent time.
If We Cancel (Weather or Other Reasons):
If Okinawa Healing Kitchen must cancel (e.g., due to weather or emergencies), please note that we cannot cover travel or accommodation expenses already incurred. Thank you for your understanding.
4. Typhoon & Weather Cancellations
A safety assessment will be conducted 24–48 hours before each retreat.
If Tropical Cyclone Condition 1 (TC-1C) or higher, or heavy rainfall warnings are issued and conditions are deemed unsafe, the retreat will be canceled.
In such cases, you will receive a 90% refund.
(10% is non-refundable to cover ingredient sourcing, setup, and processing fees.)Your safety is our top priority—thank you for your understanding and flexibility.
5. Transportation Policies
Flight Delays & Rescheduling:
Only weather-related or uncontrollable flight delays/cancellations qualify for one-time rescheduling within 3 months of the original booking.
Please notify us promptly so we can accommodate your reschedule.
Refunds are not available for missed retreats due to delays, as ingredient sourcing and setup begin well in advance.
If notification is received less than 24 hours before the retreat, rescheduling may not be possible.
Personal Travel Delays:
Delays caused by personal reasons (e.g., missed buses, car troubles, personal schedule changes) are not eligible for refunds or rescheduling.
6. Liability Clause
Our experiences may be canceled without notice due to force majeure or unforeseen emergencies beyond our control.
7. Food Safety, Health & Injury Disclaimer
Food Safety:
Okinawa Healing Kitchen by Haruka is not responsible for any leftover food participants choose to bring home. Please use a cooler to keep the food at a safe temperature and consume it within 24 hours to avoid spoilage.Health & Safety:
Every effort is made to maintain a clean facility and handle ingredients safely. All utensils and surfaces are sanitized before each session. While the risk is minimal, please note that foodborne illness can never be completely eliminated in any shared cooking environment.Injury Disclaimer:
Okinawa Healing Kitchen by Haruka is not liable for any injuries that may occur during the 3-Hour Okinawa Wellness Retreat, including cuts, burns, or accidents involving kitchen tools. Participants are expected to exercise caution and follow all safety instructions provided.
8. Food Allergies
A full ingredient list is provided for each retreat, and participants are required to review it carefully before the session. If you have any food allergies or sensitivities not listed, please participate at your own discretion.
While we do our best to maintain a clean cooking environment, the facility is not equipped for strict allergen separation or cross-contamination prevention (e.g., separate utensils or cookware). For safety reasons, we cannot accommodate participants with severe allergies to avoid any risk of allergic reactions.
9. Handling of Recipes
All recipes and materials provided by Okinawa Healing Kitchen are protected by copyright.
Participants may not copy, reproduce, or share content on social media, blogs, or other platforms without written permission.
Unauthorized use constitutes a violation of copyright law.
10. Cancellations by Okinawa Healing Kitchen
Except in the case of sudden instructor illness or emergencies, cancellations due to natural disasters (e.g., typhoons, earthquakes, heavy snowfall) or transport disruptions will be communicated by email or phone at least one day in advance.
Okinawa Healing Kitchen is not responsible for any travel or accommodation costs incurred if you travel despite receiving a cancellation notice.
Walking Tour Policies & Disclaimers

We do our best to provide a safe and enjoyable walking tour experience. However, you may experience unstable ground or unpredictable difficulties. Participation is at your own risk.
We strongly advise all participants to wear comfortable walking shoes and dress appropriately for the weather.
Ogimi Walking Tours and its guides are not liable for any injuries, losses, or damages that may occur during the tour.

In case of natural disasters (such as typhoons, earthquakes, or heavy rain), transportation disruptions affecting the tour, or other uncontrollable events, we will notify you of any cancellations by email ( ogimiwalkingtours@gmail.com ) at least one day in advance.
In the rare case of sudden guide illness or other emergencies, we will contact you as soon as possible.
Please note that only flight delays or cancellations caused by weather or other uncontrollable natural events qualify for rescheduling. If you notify us promptly, we will do our best to accommodate a one-time rescheduling within three months of your original booking. Please understand that refunds are not available for missed tours due to these delays.
However, if we receive your notice less than 24 hours before the tour, rescheduling may not be possible due to guide availability.
Flight delays due to personal reasons, as well as other personal transportation issues such as car troubles or missed buses, are the responsibility of the participant. Refunds cannot be provided for missed tours due to these reasons.

Cancellation & Refunds:
Cancellations made at least 72 hours before the scheduled tour are eligible for a full refund minus a 4% processing fee.
Cancellations made within 72 hours of the tour are non-refundable, as preparations and scheduling are already in place.
Rescheduling
If you need to reschedule, please notify us at least 48 hours in advance. We’ll do our best to accommodate you on a different date, subject to availability.
Each booking is eligible for one reschedule, and the new date must be within 3 months of the original booking.
Rescheduling requests made within 48 hours of the tour may not be accommodated.
Weather Policy:
A weather and safety assessment will be conducted 24–48 hours before the tour.
If Tropical Cyclone Condition 1 (TC-1C) or other severe weather warnings are in effect—or if conditions are deemed unsafe—the tour will be canceled for your safety.
In that case, you’ll receive a 96% refund (4% is retained to cover processing fees).
Thank you for your understanding and flexibility—your safety and experience are our top priorities.
Late Arrivals & No-Shows:
Cancellations are accepted only via e-mail during business hours: Tuesday to Saturday, 9:00 AM – 3:00 PM.
