Okinawa Healing Kitchen USER POLICY

Cancellation & Weather Policies differ for Mini-Retreats. Click here to review the specific terms.

1. Cancellation & Refund Policy

Thank you for understanding that each cooking experience or retreat requires advance planning, venue booking, and ingredient preparation.
All bookings are final and non-refundable.

  • More than 10 days before the cooking experiences or retreats:

  • Reschedule once for a future date (within 6 months), or

  • Transfer your spot to someone else.
    (See transfer policy below.)

  • 10 days to 72 hours before the cooking experiences or retreats:

  • You may transfer your spot to a friend or family member, but selling your spot publicly is not allowed to help us manage food allergy and intolerance information safely.

  • Rescheduling not available.
    (See transfer policy below.)

  • Within 72 hours of the cooking experiences or retreats:

  • No rescheduling or transfers allowed for any reason (illness, car trouble, schedule mix-ups, etc.)

  • Last-minute changes are difficult due to prep and dietary needs. Thank you for understanding.

  • Emergency Absence:

If you cannot attend due to an emergency, I’ll happily share the digital recipes so you don’t miss out completely.

2. Transferring Your Spot

If you’re transferring your spot:

  • Please email the full name and email of the person attending in your place to 📧 okinawahealingkitchen@gmail.com

To ensure a smooth handover:

  • Forward them the ingredient list and class description.

Please ask your substitute:

  • Have you reviewed the ingredient list?

  • Do you have any allergies or intolerances?

⚠️ Please note: Some cooking experiences or retreats may not be suitable for individuals with specific allergies or dietary restrictions. Kindly review all details carefully before booking.

Important: Transfers are only allowed to friends or family members. Selling or transferring your spot to strangers or publicly is not permitted to help us manage food allergies and dietary safety.

When to Send Reschedule/Transfer Requests

  • Business hours: Tuesday to Saturday, 9:00 AM – 3:00 PM

  • Email only: okinawahealingkitchen@gmail.com

If you email me within the allowed window but outside of business hours (e.g., Sunday), your request will still be honored based on the time your email was sent—not the time I reply.

3. Why This Policy Is Important

Please understand that venue booking, ingredient purchasing, and preparation require significant time and resources. Late cancellations or no-shows can impact the quality of the cooking experience or retreat.


Thank you for your understanding and cooperation — it helps me provide fair and professional service to all clients.

4. Application Requirements

  • Children must be at least 10 years old and supervised at all times during private retreats.

  • Children are allowed only at private retreats, not at cooking experiences.

  • Pets are not allowed.

  • You are responsible for your belongings. Okinawa Healing Kitchen is not responsible for loss, damage, or theft.

  • Only the registered participant may attend; no free observations or attendance by non-registered persons.

5. Liability Clause

Cooking experiences or retreats may be canceled without notice due to force majeure or unforeseen emergencies beyond our control.

6. Okinawa Healing Kitchen Cooking Experience & Retreat Details

  • Language:
    All cooking experiences and retreats are conducted in English.

  • Menu & Ingredients:
    Ingredient substitutions or menu changes may occur without prior notice due to weather conditions or supply availability.

  • Health & Safety:
    If you are diagnosed with an infectious disease (e.g., measles, chickenpox, or influenza), please notify Okinawa Healing Kitchen as soon as possible. We will offer you credit toward a future cooking experience or retreat.

7. Food Safety, Health & Injury Disclaimer

  • Food Safety:
    Okinawa Healing Kitchen by Haruka is not responsible for any leftover food participants choose to bring home. Please use a cooler to keep the food at a safe temperature and consume it within 24 hours to avoid spoilage.

  • Health & Safety:
    Every effort is made to maintain a clean facility and handle ingredients at safe temperatures. However, due to the nature of group cooking experiences, the risk of foodborne illness cannot be completely eliminated.

  • Injury Disclaimer:
    Okinawa Healing Kitchen by Haruka is not liable for any injuries that may occur during the cooking experience or retreat, including cuts, burns, or accidents involving kitchen tools. Participants are expected to exercise caution and follow all safety instructions provided.

8. Food Allergies

We will try to accommodate dietary restrictions and allergies, but Okinawa Healing Kitchen cannot be held liable for adverse effects from food consumed during class. Responsibility rests with the participant.

9. Handling of Recipes

All recipes and materials provided by Okinawa Healing Kitchen are protected by copyright. Customers may not copy, reproduce, or publish any content on social media, blogs, or other platforms without explicit written permission. Unauthorized use constitutes a violation of copyright law.

10. Cancellation and Changes by Okinawa Healing Kitchen

  • Notification: Except for sudden instructor illness or unavoidable events, cancellations due to natural disasters (typhoons, earthquakes, heavy snowfall), transport disruptions, or other uncontrollable events will be notified by email or phone at least one day before the cooking experiences or retreats.

  • Travel & Accommodation Costs: Okinawa Healing Kitchen is not responsible for any travel or accommodation costs if you come despite a cancellation notice.

11. Typhoon & Weather Cancellations

  • Bookings: All are final and non-refundable due to advance planning.

  • Safety Assessment: Conducted 24–48 hours before class.

  • Class Cancellation: If Tropical Cyclone Condition 1 (TC-1C) or higher is expected and it’s unsafe, the class will be canceled.

  • Credit Policy:

    • You receive a 90 % credit, valid for 6 months.

    • Because food preparation begins more than a week in advance—including sourcing fresh ingredients and setting up your experience—10% is non-refundable. This small portion helps cover the cost of ingredients and the time and care that go into preparing each class.

      Thank you for your understanding and support—it allows us to continue offering meaningful, hands-on experiences.

    • This credit can be applied to any future experience or online offering.

    • If the new class costs more, you pay only the difference.

Thank you for your understanding and flexibility. Your safety is our top priority.

12. Handling of Personal Information

  • Keep Your Info Updated: Let us know if your contact details change. We aren’t responsible for missed updates if your info is outdated.

  • Privacy of Other Participants: We do not share personal information of other participants. You may share your own info if you wish, but Okinawa Healing Kitchen is not responsible for what happens afterward.

  • Cooing Experiences & Retreat Info: We may send emails about upcoming classes and events. Please tell us if you’d prefer not to receive these.

Cancellation & Weather Policy for Mini-Retreats

Okinawa Healing Kitchen policies above apply to mini-retreats, except for the Cancellation and Typhoon & Weather policies, which have their own specific terms outlined below.

  • We understand that unexpected inconveniences can arise at the last minute.

    • If you notify us at least 14 days (2 weeks) before the mini-retreat (Japan time), your booking will be canceled with a 4% processing fee deducted.

    • If you cancel between 13 and 7 days prior to the mini-retreat, a 50% cancellation fee will apply.

    • If you cancel within 6 days or less before the mini-retreat, the fee is 100% non-refundable.

    • Cancellations are accepted only via e-mail during business hours: Tuesday to Saturday, 9:00 AM – 3:00 PM.

    • If you email us within the allowed window but outside business hours (e.g., Sunday), your request will still be honored based on the time your email was sent—not the time we reply.

    • If you are more than 15 minutes late, your booking may be canceled.

    • Failure to show up for the mini-retreat (including mix-ups with the date) will be treated as a no-show, and no refund will be given.

    • If you need to cancel due to weather, public transportation delays, or other personal circumstances — unless we officially notify you of a change or cancellation — it will be treated as a voluntary cancellation. Thank you for your understanding.

    • Rescheduling is allowed once per booking. Please notify us at least 7 days before the scheduled mini-retreat if you wish to reschedule. The rescheduled date must be within 3 months of the original booking.

    • If you email us within the allowed window but outside business hours (e.g., Sunday), your request will still be honored based on the time your email was sent—not the time we reply.

    • Please note:
      If we issue a cancellation notice (due to weather or other reasons), Okinawa Healing Kitchen cannot cover any travel or accommodation expenses you may have already incurred. Thank you for your understanding.

  • A safety assessment will be conducted 24–48 hours before the retreat.

    If Tropical Cyclone Condition 1 (TC-1C) or higher, or heavy rainfall warnings are expected and it is deemed unsafe, the retreat will be canceled.

    In such cases, you will receive a 90% refund, valid for 6 months.

    Because food preparation and planning begin more than a week in advance—including ingredient sourcing and setup—10% is non-refundable to help cover these costs.
